Understanding your Overview report

See your organisation's engagement at a glance, and filter it by date range and directorate.

The Overview report is your admin home for engagement and impact. It brings members, volunteer hours, donations, opportunities, applications, skills, causes, top contributors and recent feedback together on one page, with filters and an export. This article explains where to find it, what each section shows, and how to filter it.

Where to find it

Go to the Admin Panel and open Overview.

Filters and export

  • Directorate (top left, defaults to All Directorates): select a directorate to recalculate the whole report for that part of your organisation. It uses your app's configured label (for example Region or Branch),

  • From / To date range: set the reporting period. Every metric, chart and table recalculates for those dates.

  • Export (top right): download the report. The export reflects the filters you currently have applied, so set your directorate and dates first.

📝 Note: The directorate filter scopes data by members' directorate membership. If a member moved between directorates, their data appears under their current one.

Headline metrics

At the top you'll see the key totals for your selected filters:

  • Registered members - total members on your app.

  • Active members - members who have accessed the platform in the period.

  • Participants - people who took part in opportunities.

  • Hours - total volunteer hours logged

  • Value - the monetary value of those logged hours (calculated based on the volunteering value configured from settings)

A second row summarises donations:

  • Logged Donations - the number of donations logged.

  • Money Donated - total monetary donations.

  • In-Kind Items - the number of in-kind items donated.

  • In-Kind Value - the total value of in-kind donations.

The activity chart

Below the metrics is a bar chart of activity over time. Use the metric dropdown (for example Logged Hours) to choose what's plotted, and the period dropdown (for example Month) to change how it's grouped. The bars span your selected date range.

Opportunities by Status

A set of cards showing how your opportunities are progressing:

  • Created - total opportunities.

  • Open - accepting applications.

  • In Progress - currently active.

  • Completed - successfully finished.

  • Archived - no longer active.

Applications by Status

  • Pending - awaiting review.

  • Accepted - approved to participate.

  • Declined - not accepted.

  • Withdrawn - cancelled by the applicant.

Engagement Rankings

A ranked table showing Rank, Name, Hours Logged, Members and Engagement Rate (hours per member), so you can see which parts of your organisation are most engaged. Use the dropdown (for example Directorates) to choose how the ranking is grouped.

Members breakdown

A donut chart breaking your members down by member type (for example Colleague, Volunteer, Community Partner, Contractors & Suppliers, No Member Type, Donors), with counts and percentages. Use Show More to see the full list.

Most shared skills

A donut chart of the most common skills across your members, with counts and percentages - useful for spotting the strengths in your community.

Causes supported

A donut chart of the causes your work supports, with counts and percentages. Use the dropdown (for example Unique participants) to change how it's measured.

Top 10 participants

A table of your most active participants - name, location, member type, directorate, affiliation and hours. Use See all logged hours to open the full Volunteer Hour Logs.

Opportunities with most engagement

A table of your highest-engagement opportunities - name, engagement date, affiliation, lead, directorate, status, number of applicants, number of participants and logged hours. Use See all opportunities for the full list.

Latest Feedback Forms

A table of recent feedback - opportunity, engagement date, participant name, lead, overall rating, testimonial and any images. Use See all feedback forms to view them all.
