Overview
This article explains how to archive a member from your app and what that means for their data and access. Archiving is the recommended way to remove access for members who have left your organisation. This action is available to app admins only.
Before you begin
You must have admin access to your app.
How to archive a member
Click on your profile icon and select Switch to Admin Panel from the dropdown menu.
From the left-hand menu, navigate to the Members page.
Use the search bar to find the member you'd like to archive by typing their first or last name.
Once you've located the member, move to the Actions column on the right-hand side of their row.
Click the three dots (...) icon to open the actions menu.
Select Archive Profile from the list of options.
Expected result
The member will be moved to the Archived list. To view all archived members, click the Archived tab located under the Export button on the Members page.
Why archive a member?
You should archive a member when they no longer work for your organisation and you donβt want them to have access to your app. Archiving immediately removes their access to the app without permanently deleting their historical data.
What happens when a member is archived?
π Access is removed immediately - the archived user can no longer log in or use the app.
π« They cannot apply to opportunities or interact with any content on the platform.
π₯ Colleagues cannot add them to opportunities via the Add Participant section.
π Their volunteering hours data is preserved β if they completed volunteering in a previous year, their hours will still be reflected in the relevant reports. For example, if they volunteered in 2025 but left in 2026, their hours will appear in the 2025 report.
π From the date of archiving onwards, they will not be counted in your active member count.
π They will no longer appear in groups, initiatives, directorates, or team member lists.
How to unarchive a member
If you need to restore a member's access, you can unarchive them at any time:
Navigate to the Members page in the Admin Panel.
Click the Archived tab to view the list of archived members.
Find the member you'd like to restore using the search bar.
Click the three dots (...) icon in their row.
Select Unarchive Profile from the actions menu.

The member will be restored to the active members list and will regain full access to the app.
