How to change the status of an Activity

This article explains how to change an Activity's status (Not Started, In Progress, Completed, or Cancelled) either from your Dashboard if you're leading it or from the Admin Panel if you're a platform admin.

There are two ways to mark an Activity as completed, depending on your role:

  • If you’re leading an Activity and want to update its status, see Method 1: From your Dashboard.

  • If you’re a platform admin and need to update any Activity on the platform, see Method 2: From the Admin Panel.

Before either method, it's worth understanding the available statuses and what happens when an Activity is marked Completed or Cancelled.

Activity statuses

Activities have four possible statuses:

  • Not Started - the default when an Activity is created.

  • In Progress - delivery is underway, or a linked opportunity is planned and about to take place.

  • Completed - all delivery related to the Activity has taken place and no further work will be linked to it.

  • Cancelled - the Activity was planned but will no longer go ahead.

Activity statuses don’t update automatically. Once an Activity is created, you’ll need to change its status manually as the work progresses. For example, if a linked opportunity is planned and about to take place, you can change the Activity status to In Progress. Once the opportunity is completed and no more work is expected against the Activity, you can mark it as Completed.

Important: what happens when an Activity is set to Completed or Cancelled

Once an Activity is set to Completed or Cancelled, it will no longer appear in Select Activity dropdowns - including the dropdown on the Post Opportunity form and the Log Hours form.

Only set an Activity to Completed when you’re sure no further opportunities will be posted against it and no more hours will be logged. If you change the status too early, anyone trying to link new work to that Activity won't be able to find it.

Activities can't currently be deleted from the platform (an archive function is coming soon). If an Activity was planned but won't go ahead, set its status to Cancelled instead. This removes it from selection dropdowns without losing the record.

Method 1: Changing the status of an Activity from your Dashboard

If you’re not a platform admin and you just want to update an Activity that you’re leading, you can do this from your Dashboard.

  1. Click Dashboard in the top right of the platform.

  2. Open the Activities section. You’ll see all the Activities you’re leading, with details including host, cause, dates, location, and current status.

  3. Find the Activity you want to update and click the three-dot menu on the right of the row.

  4. Click Change status, then select the status you want: Not Started, In Progress, Completed, or Cancelled.

Method 2: Changing the status of an Activity from the Admin Panel

If you’re an admin, you can update the status of any Activity - not just the ones you lead - from the admin panel.

  1. Open your profile dropdown in the top right of the platform and click Switch to Admin Panel.

  2. In the admin sidebar, click Activities. You’ll see the full list of Activities on the platform, with columns for activity name, host, cause, start date, end date, location, lead, and status.

  3. Find the Activity you want to update and click the three-dot menu on the right of the row.

  4. Click Change status and select the status you want.

From the same three-dot menu, you can also click Edit Activity to open the full edit form. The Activity status field is the first field on the form, so you can update the status from there too if you’re already making other changes.
