As an admin you can archive any opportunity on the platform, not only the ones you lead. Archiving moves an opportunity out of the active list into the archived view while keeping the record - the closest thing to a soft delete.
When to archive
Archiving is only available for opportunities that haven't picked up any real engagement yet:
Created - not yet published.
Open - published, but only when it has no accepted participants and no pending applications. Decline or withdraw pending applications first, and resolve any accepted participants before archiving.
Not archivable:
In Progress - resolve to Completed, Not Completed, or Cancelled first.
Completed - has counted hours; archiving isn't available since it would strip them from reporting.
Not Completed - kept as a record.
Cancelled - a terminal record.
Expired - a terminal record once its deadline has passed.
How to archive
Go to the Admin Panel and under Engagement open the Opportunities listing.
Find the opportunity and, in the Actions column, click the three-dot menu.
Select Archive.
Confirm in the popup.
⚠️ Important: Archive only appears as an option once the opportunity qualifies - Created, or Open with nothing pending or accepted. If it's not available, resolve outstanding applications first.
What happens when you archive
Because archiving only applies before an opportunity has any real engagement, there's nothing left to resolve at that point - no applications to decline, no hours to lose from totals. The opportunity simply moves into the archived view, record intact.
Unarchiving
You can unarchive an opportunity to restore it to the active list.
What members see on an archived opportunity
If a member has a declined or withdrawn application, or a log, linked to it, they see the opportunity in read-only mode with a banner explaining it's archived.
If they have no link to it, they see the standard "page doesn't exist" message.
