Understanding application statuses

A quick reference for every status an application to your opportunity can have.

An application to your opportunity moves through a small set of statuses as it progresses - or doesn't. Knowing what each one means (and doesn't mean) saves you from assuming something's gone wrong when it's actually working as intended. This article lists every status and where you'll see it.

The statuses

  • Pending - the application has been submitted and is waiting for the lead to accept or decline it. Nothing to worry about - it just hasn't been actioned yet.

  • Accepted - the lead has accepted the application; the participant is confirmed and can take part.

  • Declined - the lead declined the application, or it was auto-declined when the opportunity was archived.

  • Withdrawn - the participant withdrew their own application, for example because their plans changed.

  • Completed - the opportunity finished and this participant was confirmed as having delivered.

  • Not Completed - the opportunity finished, the participant was accepted, but they weren't confirmed as having delivered (see Understanding the "Not Completed" opportunity status for how this comes about at the opportunity level).

  • Cancelled - the opportunity itself was cancelled while this application was Pending or Accepted; the record is kept, not deleted, so you can still see it happened.

Where to see them

Open an opportunity's Applications tab to see applications grouped by status, with a count shown on each tab (for example "Withdrawn (1)"). Your Dashboard's Applications view and the admin Participants listing also reflect these statuses, so you don't need to open every opportunity individually to check.
